Job Objective:
The Assistant Finance Manager serves as the Finance Head for Japan, overseeing finance, HR, IT, and administrative functions. This position acts as a key link between Japan, NEA Regional Office, and Global HQ, ensuring full compliance with Group standards and local statutory requirements. The role involves close collaboration with external accounting and payroll vendors and preparation for potential tax audits, while driving operational efficiency across all functions.
Key Responsibilities:
1.
Financial Accounting & Reporting

Oversee full accounting operations for Japan under J-GAAP and Group reporting standards.

Coordinate closely with the external accounting firm to ensure timely and accurate bookkeeping.

Manage month-end and year-end closing processes and ensure on-time reporting to NEA and HQ.

Prepare / Review financial statements, analyze variances, and provide insights to management.

Ensure smooth coordination with vendors for document flow, reconciliation, and audit support.

2.
Taxation & Compliance

Work with external tax consultants to ensure timely and accurate statutory filings (CIT, LIT, VAT, WHT, etc.).

Maintain and archive compliance documentation for future tax audit readiness.

Support internal control and documentation processes to mitigate tax and compliance risks.

Monitor upcoming tax regulatory changes and coordinate with HQ and regional teams as needed.
3.
Treasury & Payment Operations

Oversee payment processes for vendors, payroll, and intercompany transactions.

Manage cash flow forecasting, banking activities, and treasury reporting.

Ensure proper segregation of duties and adherence to internal approval matrices.
4.
HR & Payroll Administration
-
Coordinate monthly payroll operations with external service providers.

Maintain employee records and ensure compliance with Japanese labor laws and Group HR policies.

Support HR administrative tasks such as onboarding/offboarding, contract renewals, and benefits management.

Collaborate with Regional HR and Country GM on workforce planning and policy alignment.
5.
Administration, IT & Process Management
-
Oversee general office administration, vendor management, and cost control.

Coordinate with HQ IT and vendors on system maintenance, access control, and compliance.

Support internal control, SOP updates, and process standardization to improve efficiency and transparency.
6.
Ad-hoc Support
-
Handle ad-hoc financial analysis, reporting, or cross-functional projects assigned by NEA or HQ.

Represent Japan Finance in regional or global initiatives when required.
